How Quickap's AI Responds to WhatsApp Orders Automatically

Quickap's AI reads the customer's WhatsApp message, confirms items, calculates the total, and sends everything to the dashboard — no manual attendant needed. See how it works.

Answering WhatsApp orders manually works fine when volume is low. With 5 or 10 simultaneous messages on a Saturday night, it becomes chaos — lost orders, overwhelmed staff, customers waiting.

Quickap's AI solves this: the customer sends a message, the AI reads it, confirms the order, and forwards everything to the dashboard without any manual action.

What the AI does exactly

When a customer sends a message to the restaurant's WhatsApp, the AI:

  1. reads and interprets what the customer ordered, even with informal language;
  2. confirms the items based on the registered menu;
  3. asks about add-ons or variations that haven't been specified yet;
  4. calculates the total amount of the order;
  5. collects the address for delivery or confirms pickup;
  6. finalizes the order and forwards it to the Quickap dashboard;
  7. informs the estimated time to the customer.

All of this happens automatically, without the attendant needing to write a single message.

How the customer experiences this

From the customer's perspective, the conversation feels natural:

  • they write normally in WhatsApp;
  • they get a quick reply confirming the order;
  • they can adjust anything before finalizing;
  • they receive an order summary with the total and estimated time.

There's no feeling of a "rigid bot." The AI is trained to understand language variations, items with abbreviated names, and orders with multiple items in the same message.

What arrives in the dashboard

After the AI finalizes the order, it appears in the Quickap dashboard with:

  • item list with add-ons and variations;
  • customer's full address;
  • payment method;
  • total amount;
  • order time;
  • source channel (WhatsApp).

The kitchen receives everything formatted, with no re-typing needed.

What the attendant still needs to do

The AI handles the standard flow. The attendant steps in when:

  • the customer has a question that falls outside the script;
  • there is a problem to resolve (delay, wrong item, complaint);
  • the order involves a special situation that requires human judgment.

This frees the attendant to focus on what matters, instead of typing confirmations all day long.

Use cases the AI handles well

Situation How the AI responds
Customer orders "a large pepperoni" identifies the item, confirms the size
Customer wants "no onions" records the note on the order
Customer orders two items at the same time processes both and confirms together
Customer asks about the wait time replies based on the configured setting
Menu outside operating hours informs the customer the restaurant is closed
Item out of stock informs the customer the product is unavailable

What happens outside operating hours

When the restaurant is closed, the AI remains active. It informs the opening time and, depending on the configuration, can already collect the order for processing when the restaurant opens.

This prevents losing a customer who tries to order outside business hours and gets no response.

How to activate AI in Quickap

AI is available on Quickap's paid plans. Activation is done directly in the dashboard:

  • connect the restaurant's WhatsApp number;
  • configure the operating hours;
  • review the default responses;
  • activate the module.

From that point on, the flow starts working automatically on the first orders.
